Step 1: Master excel spreadsheet
headers in row 1 (e.g., FirstName, Amount, Date)
Each row = one document's worth of data
When court date entered into masterlist, it will be also entered into calendar Or should this come off of individual file?
Save the Excel file in master folder
Step 2: Individual case spreadsheet
When data entered into row of master, it will import into individual spreadsheet
Individual spreadsheet then moved to individual case folder
Step 3: Word Document
When a template document is moved into individual folder, fields are filled out from individual spreadsheet.
Templates: Fee Agreement Contract Notice of Appearance, Request For Discovery, Motion to Continue, Motion to Vacate, Motion to Amend, SMD Expert Request, Subpoena, Crim NOA, Crim RFD, Outcome Letter.
Fields: First Name, Middle Name, Last Name, Ticket Number, Case number (Seattle), Todays Date
Calenders. Court dates and times will be entered onto courtdate calender (including court). Ticket due dates will also automatically be entered into ticket date calender (Including date of filing)
I am a solo law office. What I am looking to do is to automate some of the repetitive tasks that I do. Automate putting individual client information into various legal templates as needed. Tracking due dates for things like court filing deadlines and court dates using a calender.
I am thinking of starting with a master excel file for all my cases. As I filling a new row for a new client, that data will also autopopulate a separate excel page for that individual case. I will then move the individual excel file to a folder for that case, to store my documents and received court documents.
Then whenever I move a word template legal document into the folder, I want it to autopopulate from the excel file. An example would be a contract with the name, case number, amount and due date. Possibly also a contacts page with address, phone number, email, case number and charge.
Once I receive that back, I need to file with the court. I would like them to autopopulate from the excel folder with the name, ticket number, and todays date (2 places.) The name on the Notice of appearance would need to be entered both last name first and first name last on the Notice of Appearance document. Other documents would include the Request for Discovery, Motion to Continue, Show Cause motion, Speed Measuring Device Expert subpoena, and Officer Subpoena. They would all need the client name (last name first), case number, and todays date.(2 places)
Can the document be partially renamed with the client name and case number?
Upon completion of the court hearing, an outcome letter template would be added to the folder. Autopopulate name, case number and todays date, any amount due and due date (which will have been added to the individual excel page)
calendar
I currently use Google calendar, but am not adverse to moving to Microsoft calendrer if it works better.
